Rotational Scheduling is a powerful feature designed to simplify the setup and execution of OSCEs (Objective Structured Clinical Exams) —both in‑center and remote.
It allows you to efficiently manage learners, standardized patients (SPs), scenarios, rooms, and time slots , while automatically rotating learners through all required encounters.
When to Use Rotational Scheduling
Use Rotational Scheduling when you need to:
- Run high‑volume OSCEs with multiple learners and rooms
- Ensure each learner completes all required scenarios
- Minimize setup time and configuration errors
- Apply consistent timing, scenarios, and assignments across rooms
- Detect and resolve scheduling conflicts before the event runs
Rotational Scheduling is ideal for exam‑based workflows where rooms remain fixed and learners rotate through encounters.
Access and Prerequisites
To use Rotational Scheduling, you must have:
- SimCapture Enterprise with Exam System
- Administrative permissions to manage courses and agenda events
- At least one scenario that includes a listed Standardized Patient (SP)

- Assign learners, SPs, and scenarios to specific rooms and time slots
- Automatically rotate learners through scenarios
- Configure all rooms for a time slot with one click
- Use the built‑in wizard to detect scheduling conflicts
- Reduce manual setup and last‑minute changes
How to Set Up Rotational Scheduling
Step 1: Access the Agenda
- Log in and go to the Courses tab
- Select your course
- Scroll to the Agenda pod and select Go to full agenda
- Select New Rotational Event
Step 2: Event Setup
- Set the start and end dates/times
- Define the Session Length
(This includes time from learner login through debrief.) - Select Next
Step 3: Select Rooms
Choose how your OSCE will be delivered:

Remote Rooms
- Enter the number of rooms required

In‑Center Rooms
- Select rooms from the list and move them to the active column
Step 4: Add Patients
- Select one or more patients (SPs) linked to your scenarios
- Use the arrows to add or remove them from the event
Step 5: Add Learners
- Select learners from the course participant list
- Use the arrows to assign or remove them from the event
Step 6: Configure Encounters
Each time slot + room requires an encounter configuration.
- For a time slot and room, select + Add
- Choose:
- Scenario
- Patient
- Learner
- Select Submit
You can Edit , Remove , or Copy/Paste encounters between time slots as needed.
Rotating Learners Automatically
To speed up setup, you can use automatic rotation:
- Assign one time slot with a Scenario, SP, and Learner
- Select Rotate
- The system fills remaining time slots automatically
- Repeat as needed until all learners are scheduled
Add Breaks or Apply Settings Across Time Slots
- Add Break – Insert scheduled breaks between sessions (for SP or learner rest)
- Paste to All Timeslots – Apply the same encounter setup across all time slots in a room
Save and Submit the Event
- Your work is auto‑saved if you navigate away
- Select Submit to finalize the schedule
- Review any warnings and select Save
Before proceeding, confirm:
- All learners are scheduled
- All time slots are filled
- No conflicts remain
Running the Rotational Event
When it’s time to run the OSCE:
- Go to the Control tab
- Select See Schedule
- Highlight your rotational event
- Select Apply
This automatically configures all rooms with the correct Scenario, Patient, and Learner for each time slot.

- Monitor encounters as they progress
- Ensure learners rotate correctly
- Review evaluations and exam data after completion
