Those users with proper Administrator permissions can quickly bulk upload SPs in SimCapture Cloud using an import template. Let’s look at how this is done. 

Things to know before you begin 

  • You can upload 100 users at one time. 
  • While uncommon, if any messages or guidance appear, they'll be shown in Step 3 of the import. 
  • See our Demographic import requirements.

User Permissions

You must be an administrative level user and have one of these permissions to be able to perform this task. 

  • Manage SPs: Can enable SP status for existing users. 
  • Manage Participants: Can create or update users. 
  • Manage Participants AND Manage SPs: Can create or update users with existing SP status. 

Import/Update Users 


To begin, all administrators will log in to their SimCapture Cloud site, select SPs in the global navigation bar, select Add or Update SP and choose Import or Update SPs from the dropdown.

Manage SPs permissions 

If you are an Administrator with only Manage SP permissions, you will have only one option in Step 1, Enable SP status for existing users. Using this option and following steps 1-3 below allows Administrators to designate existing Users as SPs and define demographic information for those Users. Users are matched based on username and email combination 

  • Step 1: What action would you like to take? Enable SP status for existing users should be preselected. 
  • Step 2: Download the User template and populate it with your institution’s User information and following the user template guidelines. 
  • Step 3: Upload your completed template. 

When the file is successfully uploaded, select Confirm and Import. 

Manage Participants permissions 

If you are an Administrator with only Manage Participants permissions, you will have only one option in Step 1, Create or update Users. Using this option and following steps 1-3 in the image allows administrators to create new Users in the system, and to designate them as SPs (while not allowing demographic definition). 

  • Step 1: What action would you like to take? Create or update Users should be preselected. 
  • Step 2: Download the User template and populate it with your institution’s User information and following the user template guidelines. 
  • Step 3: Upload your completed template. 

When the file is successfully uploaded, select Confirm and Import. 

Manage Participants AND Manage SPs permissions 

If you are an Administrator with both Manage Participants AND Manage SPs permissions, then three options should be available for you to select from: Create or update Users, Create or update Users with SP status, and Enable SP status for existing Users. Using these options and following steps 1-3 in the image will allow Administrators to Create new Users with or without demographics defined or update existing users with SP designation and demographic information.

  • Step 1: Choose an action from the three available options, with none pre-selected. Once you select an option, the relevant instructions for Step 2 and Step 3 will be displayed based on your choice. 
  • Step 2: Download the User template and populate it with your institution’s User information and following the user template guidelines. 
  • Step 3: Upload your completed template. 

When the file is successfully uploaded, select Confirm and Import.
