The OSCE Encounter Report helps administrators track which Standardized Patients (SPs) have interacted with which learners—and when .
This report is commonly used to prevent repeated learner‑SP interactions , supporting fairness, diversity, and exam integrity across OSCEs.
Access and Permissions
When to Use the OSCE Encounter Report
Use this report when you need to:
- Review learner‑SP exposure before scheduling an OSCE
- Avoid assigning the same SP to a learner too frequently
- Support exam fairness and consistency
- Audit encounter patterns after an OSCE
- Prepare documentation for internal review or accreditation
Key Information to Know Before You Start
Report Scope
- The report displays historical learner–SP encounters
- Data reflects recorded OSCE interactions within SimCapture
Color‑Coded Indicators
The report uses color coding to highlight recent repeat encounters :
- Yellow – Learner has seen the SP once in the last 6 months
- Orange – Learner has seen the SP two or more times in the last 3 months
These visual cues help you quickly identify potential overexposure risks .
Excel Export Formatting
When downloaded:
- Usernames are formatted as
Last Name, First Name, Middle Name (if applicable) - Color‑coding is retained for easy review, filtering, and sorting
How to Access the OSCE Encounter Report
- Select Courses from the global navigation bar
- In the Results pod (within the course), select View Reports
- From the Report dropdown, select Encounters
- Choose Display Number of Encounters
The report displays a grid view showing learner–SP interactions.
How to Read the Report
- Rows represent learners
- Columns represent Standardized Patients
- Cells indicate whether an encounter has occurred
- Colored cells highlight recent or frequent interactions based on defined time windows
This layout allows administrators to quickly scan for repeat encounters.
Downloading the Report
- Select the Download icon or button (if available)
- Export the report as an Excel file
The exported file:
- Preserves color‑coding
- Supports sorting, filtering, and offline review
- Can be shared with exam coordinators or leadership as needed
Important Notes and Limitations
- The report reflects SimCapture‑recorded encounters only
- Manual or external encounters (outside SimCapture) are not included
- Color indicators are informational and do not prevent scheduling actions
