SimCapture Cloud Enterprise and Pro: How to work with users and user filters

This article will show you how to work with Users and User filters within your SimCapture organization.
Things to know before you begin
Administrative users can now filter users by Organization and user role as well as sort users by created date. A user list includes:
- Viewing/filtering users
- Exporting the filtered list of users to Excel
- Selecting and batch editing/archiving/deleting Users
- Selecting and batch-adding users to a Course
- Selecting and batch emailing users from SimCapture
- Adding individual users
- Importing users via Excel
Viewing and filtering users
Administrative Users can log in to their organization and click Users in the menu bar to view all users for that organization. Users can be filtered by Roles (System Administrator, Administrator, Participant) and Organization and by Active Users and/or Selected Users.
Note: If choosing more than one organization to filter by, the results will be from all selected Organizations.
Exporting the filtered list of users to Excel
To export a list of filtered users, check the box next to one or more user names, then select Download from the More dropdown menu. This will immediately download an Excel spreadsheet that contains the Users you selected.
Note: If you use SimCapture Cloud Pro, you will not have the option to use the Add to Course feature. The Add to Course feature only appears in SimCapture Cloud Enterprise.
Selecting and batch editing/archiving/deleting users
Being able to batch edit, archive, and delete users can save time when updating your User list. To do this, check the box next to the names of Users you want to edit, archive, or delete. To select many Users at once, you can use the Click-Shift method (click your first username, scroll down your page to the last User you want to select, hold your Shift key down and use your mouse to click the checkbox next to the last User on your list).
Once you have selected your users, you can edit, archive, or delete the users.
Edit users
To edit the users, click the Edit button. From there, you can change the user's role, add or remove Organizations for the user and preserve or reset passwords. Click Save when finished.
Archive users
Archiving users allows them to "exist" via a soft delete for reporting, previous sessions, completed evaluations, etc. However, they cannot log in, nor can they be added to future items.
Only a user with System Admin or Admin user permissions can undo an archived user.
To archive the users you have selected, click Archive from the More dropdown menu.
You will then see a pop-up that allows you to continue or cancel the archiving process.
Delete users
Deleting users will permanently delete them from the organization, and they can no longer log in. Note: Users that have data tied to them will not be deleted and, instead, will be archived.
To delete the Users you have selected, click Delete from the More dropdown menu.
You will then see a pop-up that allows you to continue or cancel the deletion process.
Add users to multiple organizations
In addition to adding users to an organization, you can now add users to more than one organization by selecting the usernames, clicking Edit, clicking Organization, placing your cursor in the Organization box, add organizations and click Save. If adding only one additional organization both organization names will show under the organization column. If adding more than one organization, a +2, +3, etc. will show.
Selecting and batch emailing users from SimCapture
To email multiple users at once, select the users you want to add (remember the Click-Shift method if your list is long) and click Notify from the More dropdown menu.
Then, add your message and more users if needed and click Send. Note: The user sending the email will be visible to recipients.
Adding individual users
An Administrative user can add an individual user to the organization by going to the User tab in the menu bar and clicking Add User.
The Administrative user will then fill in and save the required Contact and Details information.
Should changes to the user need to be made in the future, an Administrative user can click the user's name, click the pencil icon and edit the Contact and Details information.
User associations with sessions and courses (Enterprise and Pro)
Within SimCapture Pro, Admin users can click a username and see the Sessions a user is associated with along with the role that the user is assigned for that Session. Within SimCapture Cloud Enterprise, Admin users can click username and see the Courses that a user is associated with along with the role that the user is assigned for that Course.
Importing users via Excel
An Administrative user can import 100 users at once using an Excel spreadsheet. To do this, go to the User tab in the menu bar, click the More dropdown menu and then, click Import and you will be taken to the Import Users page. From the Import Users page, Administrators can can also immediately download the template for adding new users, an Excel spreadsheet containing all the columns and proper formatting to be accepted for bulk import, and upload a completed sheet.
First, Last, User Name, Email, and Password are required for the import to be successful.
Once a file has been completed and chosen for import, the Administrator will receive a confirmation dialog box for the number of users to be imported, as well as a confirmation once this import has been completed.
Note: Duplicate emails will cause the import to fail.
Once the import is complete, the Administrator will navigate to a list of the imported users with the details of each. Note: If spreadsheet upload fails, check for errant spaces in the upload spreadsheet, particularly in email addresses.
Download users
If an Admin user wants to download the user list, just click Download under the More dropdown menu and an Excel spreadsheet will be generated. To download individual users, check the name of the users to download and click Download under the More dropdown menu.
