Managing Users and User Filters in SimCapture Enterprise
How to view, filter, and manage users in your SimCapture organization

This article will help you manage users and user filters in your SimCapture organization. For bulk uploading Standardized Patients (SPs), see: SP Bulk User Import/Update.
Things to Know Before You Begin
Administrative users can:
- Filter users by Organization and User Role
- Sort users by creation date
- Perform batch actions like edit, archive, delete, or email
- Export user lists to Excel
- Add or import users individually or in bulk
Viewing and Filtering Users
- Log in as an Administrative User.
- Select Users in the top menu.
- Use filters to narrow by:
- Role (System Administrator, Administrator, Participant)
- Organization
- Active/Selected Users
Tip: Selecting multiple organizations will show users from all selected orgs.
Exporting Filtered Users to Excel
- Select one or more users using the checkboxes.
- Select More > Download.
- An Excel file will download with the selected user data.
Batch Editing, Archiving, or Deleting Users
- Select users using checkboxes or the Click-Shift method.
- Select More and choose:
- Edit: Change roles, organizations, or reset passwords.
- Archive: Retain user data but disable login and future assignments.
- Delete: Permanently remove users (users with data will be archived instead).
Note: Only System Admins or Admins can unarchive users.
Batch Emailing Users
- Select users.
- Select More > Notify.
- Compose your message and select Send.
The sender’s email address will be visible to recipients.
Adding Individual Users
- Go to the Users tab and select Add User.
- Fill in required Contact and Details fields.
- To designate as an SP, check Enable SP Status.
- Select Save.
To edit later, select the user’s name and then the pencil icon.
User Associations with Sessions and Courses
- SimCapture Pro: Select a username to view associated Sessions and roles.
- SimCapture Enterprise: Select a username to view associated Courses and roles.
Importing Users via Excel
- Go to Users > More > Import.
- Download the templateand fill in:
- First Name
- Last Name
- Username
- Password
- Role (defaults to Participant if not selected)
- Organization
- Enable SP Status (if applicable)
- Upload the completed file.
- Confirm the number of users to import.
- After import, view the list of added users.
Tip:
- To update existing users, use the same email address.
- Check for extra spaces in email fields if the upload fails.
Downloading Users
- To download all users, select More > Download.
- To download specific users, select them first, then select Download.
