This guide explains how to manage sessions in SimCapture Pro, including importing videos, editing session details, managing users, and using annotations and logs.
Things to Know Before You Begin
- Access Level: Only System Administrators and Administrators can use the features described here.
- Remote Access: Administrative functions and session debriefing can be done remotely.
- Account Help: If you need your username, password, or account access, contact your system administrator or email Support.
- Recording Limits: Maximum recording time is 4 hours or until the file size reaches 4GB.
Key Terms

| Summary | Displays basic session info. Owners and contributors can edit/delete the session via the icon in the upper right. |
| People | Users are grouped as: • Owners - Full control, including deletion. • Contributors - Can edit/annotate. • Participants - Can annotate and view others' annotations (if permitted). • Viewers - View-only access. |
| External Link | Allows non-SimCapture users to view session video without logging in. Does not include session metadata. |
| Annotate | Add predefined or ad-hoc annotations to the session timeline. |
| Event Log | Shows all annotations. Select an item to jump to that point in the video. |
Import a Session Video
- Go to Sessions in the Global Navigation bar and select Import.
- Select Choose File or drag your video file to upload.
- While uploading, fill in:
- Scenario
- Title
- Organization
- Location
- Notes
- Session Date/Time
- Select Save once all videos show a ✅ green check mark.
Transcoding time varies. If it takes longer than 15 minutes, you'll receive an email when it's ready.
Edit a Session
Summary Tab
The summary tab is the blue tab on the sessions screen. Click the tab to expand it, select the kebab menu (⋮) to edit and within this area you can edit session details like:
- Scenario, Title, Organization, Location
- Simulator, Date, Start/End Time
- Notes, Views
- View Activity (hover for exact timestamps)
- Download video
- Delete an entire session
- Delete a video
People Tab
Manage user roles:
- Change Owner: Use the search bar.
- Add Contributors/Participants/Viewers: Use the search bar.
- Change Permissions: Select Change Permissions next to a user.
- Create External Link: Share session video externally.
Select Save when done.
Annotations Tab
- Select an existing annotation to add it to the timeline.
- To create a new one, type the name and select Add as an ad-hoc annotation.
Event Log Tab
- View or search annotations.
- Select the cloud icon to download the log as an Excel file.
- Use filters (blue pyramid icon) to show specific annotation types.
Evaluations Tab
The Evaluations tab appears only if the selected scenario includes a reflection.
Session Transcript Tab
The Sesbriefsion Transcript tab allows you to generate a transcript of your session. To learn more about this feature see the Debrief Transcription article.
View a Recorded Session
- Go to the SimCapture website.
- Log in with your credentials or SSO.
- Find your session:
- Use the Quick Debrief pod if it was your last session.
- Or select Sessions and select the session title.
- The video will auto-play. Use the play/pause button to control playback.
- To annotate or edit, open the sidebar using the blue tab on the right.
Trim a Session (Optional)
- Select the video, then the Trim icon in the lower right.
- Make edits and select Save.
Trimming replaces the original video. All evaluations transfer to the edited version.
Return to Session List
- Hover over the blue line at the top to reveal the navigation bar.
- Or use your browser's back arrow.
FAQs
When are deletions run?
Overnight in the local region with the settings configured at that time. For example, if the global auto-deletion is set to 3 days and then changed to 5 days later that day, the nightly check will delete all eligible sessions 5+ days old since that was the setting when the overnight check occurred.
Are deletion policies retroactive?
Yes. All existing sessions are evaluated at the time of the nightly check. It is extremely important all overrides are set before enabling deletion policies to reduce risk of losing data unintentionally.
What takes priority if multiple rules apply?
The “never delete” override always takes precedence. Then scenario policy, then global.
Can deleted videos be recovered?
No. Deletion is permanent and cannot be undone once the overnight deletion process runs. Ensure that any sessions you want to preserve are marked with a scenario or session-level override before enabling policies.
