Tracking Inventory Usage with Reservations

SimCapture supports inventory consumption based on reservations, allowing administrators to track usage of consumables and capital equipment—even when sessions are not recorded. This feature is available in Enterprise and Enterprise with Exam System environments.
Use Case
If you use the calendar to schedule sessions but don’t always record them, this feature ensures inventory is still deducted when the reservation begins.
Before You Begin
- The reservation’s start and end time must be in the future.
- You must select a Course and Scenario that include inventory.
How to Enable Inventory Consumption
Step 1: Create or Edit a Reservation
- Go to Calendar → +Add Reservation or select an existing reservation.
- Fill in required fields and ensure inventory is attached to the Scenario that you choose.
Step 2: Use the Inventory Consumption Checkbox

- Locate the checkbox: “Deduct from inventory (when reservation begins)”
- Default: Off
Step 3: Behavior
- Toggle Off: Inventory is only deducted when a session is run.

Toggle On:
- Consumables: Deducted once at reservation start.
- Capital Equipment: Tracked for the full reservation duration.
Step 4: After Reservation Starts
- Inventory checkbox becomes locked.
- Inventory is automatically deducted at start time.
Step 5: Running a Session Later
- Inventory will be deducted again if a session is run after the reservation begins.
Managing Inventory
- Inventory fields in reservations are locked after start.
- Manual adjustments can be made via the Inventory tab in Global Navigation.
Troubleshooting Tips
Inventory not deducted at reservation start?
- Confirm the reservation start time is in the future when created.
- Ensure the selected Course and Scenario include inventory.
Checkbox missing or disabled?
- This feature is only available in Enterprise environments.
- The checkbox is disabled once the reservation begins.
Inventory deducted twice?
- This is expected behavior if a session is run after the reservation starts.
Need to adjust inventory after reservation?
- Use the Inventory tab in Global Navigation to make manual changes.
