Manage Users in SimCapture | View, Import, and Edit Users
Learn how administrators manage users in SimCapture, including viewing and filtering users, exporting to Excel, batch actions, and bulk user imports.

This article explains how System Administrators and Administrators can view, filter, manage, and import users from the Users page in a SimCapture organization.
Note: For bulk uploading Standardized Patients (SPs), see SP Bulk User Import/Update.
Before You Begin
To manage users, you must:
- Be logged in as a System Administrator or Administrator
- Have access to the correct SimCapture organization
What You Can Do on the Users Page
Administrative users can:
- View and filter users by role and organization
- Sort users by creation date
- Perform batch actions (edit, archive, delete, email)
- Export user lists to Excel
- Add users individually
- Import or update users in bulk using Excel
View and Filter Users
- Log in as an Administrative user.
- Select Users from the top menu.
- Use filters to narrow the list by:
- Role (System Administrator, Administrator, Participant)
- Organization
- User Status (Active / Selected)
Tip: Selecting multiple organizations displays users from all selected organizations.
Export Users to Excel
You can export all users or only selected users.
Export all users: Select More > Download (do not select individual users).
Export selected users: Select one or more users using the checkboxes, then select More > Download.
An Excel file containing the user data downloads automatically.
Manage Users in Bulk (Edit, Archive, or Delete)
- Select one or more users using checkboxes or Shift + click.
- Select More, then choose an action:
- Edit – Update roles, organizations, or reset passwords.
- Archive – Disable login and future assignments while retaining the user’s data.
- Delete – Permanently remove users. If a user has associated data, the user is archived instead of deleted.
Note: Only System Administrators and Administrators can unarchive users.
Send a Batch Email to Users
- Select one or more users.
- Select More > Notify.
- Compose your message and select Send.
The sender’s email address is visible to recipients.
Add an Individual User
- Select Users, then select Add User.
- Complete the required Contact and Details fields.
- To designate the user as a Standardized Patient, select Enable SP Status.
- Select Save.
To edit a user later, select the user’s name, then select the pencil icon.
View User Associations
- SimCapture Pro – View the user’s associated sessions and roles.
- SimCapture Enterprise – View the user’s associated courses and roles.
Import Users Using Excel
You can add or update users in bulk using an Excel file.
- Go to Users > More > Import.
- Select the import action.
- Download and complete the Excel template.
- Upload the completed file and confirm the import.
- Review the list of users that were added or updated.
Import Tips
- Use the same email address to update existing users.
- Remove leading or trailing spaces in email fields to prevent import failures.
- Warnings and errors appear directly in the UI with instructions for fixing them.
