SimCapture Enterprise with Exam System: How to set up exam flows and use EMR forms

What is the SimCapture EMR exam feature?
SimCapture Cloud Enterprise with Exam System supports customizable EMR forms as part of the exam flow. The goals for the EMR feature are to allow students to practice viewing patient information in a tabbed form and documenting patient details and interactions electronically. The feature will display an EMR form that can be empty, partially, or fully completed as part of the exam.
Benefits of EMR
- Create a custom EMR form for each Scenario with an associated Exam Flow.
- Forms are static and independent, so numerous students can complete the same form simultaneously without impacting the content.
What the SimCapture EMR is NOT
- Intended to mimic an actual EMR program.
- A method for tracking live patient information or updates.
EMR permissions
- Creating EMR: System Administrator, Course Owner, Course Contributor with Edit Course permission
- Completing EMR: Only learners logged into an exam with an EMR enabled.
- Viewing Completed EMRs: System Administrator, Course Owner, Course Contributor with View Results permission.
- Editing/Deleting Completed EMRs: System Administrator, Course Owner, Course Contributor with Edit Course and View Results permission.
Set up your exam flow for EMRs
1. Navigate to the Scenario in which you want to add an EMR.
2. Under the Exam Flow pod, select the edit pencil. If your scenario does not have an exam flow, you must select one first by editing the Summary and selecting the Standardized Patient option.
3. On the Exam flow edit page, select Enable EMR and save.
4. This will add an EMR view to three different exam states:
- Pre-encounter: EMR will appear on the student workstation after the door notes but before the encounter.
- Encounter: EMR will appear on the patient workstation during the encounter.
- Post-Encounter: EMR will appear on the student workstation during the post-encounter state, along with any post-encounter evaluations.
Create an EMR form
1. On the Scenario page, select Click to add an EMR in your Evaluations tab.
2. Choose whether to copy an existing EMR from another Scenario or create a new EMR. Creating a new EMR will start with our default EMR template to aid in the speed and efficiency of EMR creation. The new EMR will not be blank.
3. On the EMR Details page, select Edit from the menu at the top right of the EMR preview and the EMR builder will appear.
3.1. Switch between building and previewing your EMR by clicking between these options.
3.2. Switch the tab you're working on or add new tabs by clicking the + icon. Tabs can also be renamed by clicking Rename tab. Tabs can only be deleted once all questions have been removed.
3.3. Questions can be informative with the option to add media, free text, or multiple choice. Questions within EMRs do not have point values or question categories.
3.4 Rows can be deleted by clicking the - button to the left of the row.
3.5 Rows can be added with 1, 2, or 3 columns for questions. Questions are then added to each column.
When you are satisfied with your EMR form, click Save and then Done to return to the EMR details page.
Prefill an EMR form
Often, when learners interact with an EMR form, some or much of the patient's relevant information has already been entered. For example, patient names and demographics and a partial history may already be available to students. To add this information to your blank form, you will want to prefill your EMR, so it is partially complete before it is shown to the learner.
1. On the EMR details page, select Prefill EMR from the EMR Preview menu.
2. This will show the EMR Preview page. You can enter the information you wish to be prefilled within the form on this page, then click Save.
3. The EMR details page will now show the pre-filled information in addition to the form itself.
Complete EMRs
Learners complete EMR forms as part of a SimCapture exam, which is included only in SimCapture Enterprise with Exam System. Based on the exam flow selected above, the EMR will display on either the student or patient workstation at given times throughout the exam.
- Pre-encounter: EMR will appear on the student workstation after the door notes but before the encounter.
- Encounter: EMR will appear on the patient workstation during the encounter.
- Post-Encounter: EMR will appear on the student workstation during the post-encounter state, along with any post-encounter evaluations.
Any information entered during one state will be carried into the next state, allowing for notes to be made or information to be entered during the student's exam.
View completed EMRs as an administrator
1. Completed EMRs can be viewed from the EMR detail page by selecting See Completed EMRs from the EMR Results Pod.
2. The results list will display the learner's name(s), who completed the EMR, and the time and date submitted.
3. Clicking a row will allow the administrator to view the completed EMR and Edit and Delete it.
View completed EMRs as a participant
As with all content within SimCapture, learners can only view completed EMRs if released. Once released, they will display as part of the Course Results page on their SimCapture dashboard.
