SimCapture Enterprise with Exam System allows institutions to run structured clinical exams using dedicated workstations. This guide walks you through the process of getting set up for running exams successfully.
Components and Terminology
- Tray App: A desktop application that turns a Windows or Mac computer into a dedicated exam station. The app runs in the system tray, connects the workstation to your SimCapture environment, and displays the Learner or SP exam interface. Once configured, it runs in full-screen kiosk mode so the workstation functions solely as an exam station during exams.
- Exam Stations: Dedicated computers that run either the Learner Interface or SP (Standardized Patient) Interface.
- Learner Interface: Installed on workstations outside each exam room. Used by learners to identify themselves, complete EMRs and evaluations, and interact with the Comet Exam Service and SimCapture.
- Patient Interface: Installed on workstations inside each exam room. Used by patients to view exam status and complete evaluations. Also communicates with Comet Exam Service and SimCapture.
Pre-requisites
- The Tray App must be installed by an administrator or a user with read/write permissions on the installation folder.
- To launch the Tray App automatically in full-screen mode, it must be added to the list of Startup Applications:
- Windows: Add a shortcut to CloudExamSystem.exe in C:\ProgramData\Microsoft\Windows\Start Menu\Programs\StartUp
- Mac: Add the app to Login Items in System Preferences.
- A dedicated Windows or Mac workstation for exam use.
- Network access to your SimCapture environment.
- Your SimCapture URL and regional endpoint information provided during onboarding.
Installation Steps

- Download the Tray App from the following link https://trayapp-updater.simcapture.com/
- Install the Tray App on the learner or patient workstation as an administrator.
- After installation, the Tray App launches automatically and appears in the system tray.
- On first launch, enter the SimCapture URL and regional configuration values for your environment.
Once installed, the Tray App will appear as an icon in the system tray. Clicking the icon reveals several configuration and status options.

Reconfigure the Tray App
After installation:

Understanding the Tray App Interface
The Tray App provides quick access to essential terminal functions and status indicators:
- Version: Displays the installed version.

- "Exam Service: Connected"
- "Exam Service: Disconnected"

Room: Displays the exam room the Tray App is registered to.
- Terminal: Indicates whether the station is configured as a Learner or SP interface.
- Configure: Available on a new install.
- Configure Terminal: Appears when configuration settings are saved but registration is pending.
- Reconfigure: Allows for updates to Tray App settings (rarely required) by opening the API configuration page for modifying server (regional) endpoints.
- Reconfigure Terminal: Reconfigures the registered terminal, allowing the Room Number to be set and station identity updated (to Learner or SP).
- Open: Launches the Tray App manually.
- Exit: Closes the Tray App and removes it from the system tray.
The Tray App will not become active until:
- It is registered as an exam station.
- Content is configured in the Control Interface for the associated room.
Daily Use
The Tray App runs continuously in the background and automatically opens the exam interface assigned to the station. Right-click the Tray App icon to access common actions:

The workstation runs in full-screen kiosk mode by default to keep learners within the exam experience.
Automatic Updates
Starting in v2.4.0, the Tray App automatically checks for updates every few hours and installs available updates overnight, helping exam stations stay current without manual intervention. During an overnight update, the application may briefly restart. To avoid interruptions, do not schedule exams during the overnight update window. No action is required from administrators to receive Tray App updates.
Registering the Exam Station
If multiple learners use the same workstation throughout the day, the Tray App automatically clears the previous user session when a new learner signs in using SSO. No manual logout is required between exam participants.

Registering links the Tray App to a specific exam room and role:

- Log in using a system administrator account.
- Navigate to System Setup → Exam Stations.
- Click Register.
- Select the appropriate Exam Room.
- Choose Learner or SP for the Exam Station type.
- Click Save. The interface will update to reflect the selected terminal type.
- Enable Auto-Launch on Login
Windows Users
To ensure the Tray App launches automatically:
- Open two File Explorer windows:
- Window 1: C:\ProgramData\Microsoft\Windows\Start Menu\Programs\StartUp
- Window 2: C:\Program Files (x86)\CloudExamSystem
- Create a shortcut for CloudExamSystem.exe.
- Move the shortcut to the Startup folder in Window 1.
- Repeat for each terminal requiring auto-launch.
Mac Users
To ensure the Tray App launches automatically:
- Open Settings > General > Login Items and Extensions.
- Click the + button in the "Open at login" window.
- Select the CloudExamSystem application to add to list.
Additional Settings
- Login without password: Can be enabled via System Setup → Exams → Permissions.
- Login using SSO: Supported.
- Timers, encounter start, auto-advance: Configurable within SimCapture during exam flow setup.
Troubleshooting Tips
General Checks
- Ensure Exam Service shows as connected.
- If the Exam Interface is not open, verify that the room is configured in the Control Interface.
- If the station displays a blank screen or cannot connect, verify the SimCapture URL and regional configuration settings.
- If the Tray App icon is not visible, restart the workstation. The Tray App launches automatically at startup.
- Tray App logs can be collected by support to help diagnose issues.
