SimCapture Enterprise with Exam System: How to operate the SimCapture Enterprise course

Important information to know before you begin
Once a Course is added, the Course Administrator or another authorized user can start the Course. After the Course begins, Evaluations will become available as participants are added to and complete Sessions. The During Session evaluation does not require assignment and will be accessible with the Scenario Session. Administrators can release scores and videos to all participants or to a specific subset. Additionally, progress reports can be generated from the Course page.
Start a course
An Administrator must initiate a course before participants can begin working on it. To do this, locate the desired Course, click Start Course, and then select Update. The Start Course button will change to Complete Course. Once a course is marked as complete, it will no longer be accessible to participants or for starting sessions, but it can be rerun.
After starting the Course, it will appear in the participant's portfolio, and you will be able to view the Course status in the Course field. The possible Course statuses are:
- In Development - not visible or available for assignment.
- In Progress - visible and available for assignment.
- Complete - not visible or available but can be rerun.
Change course status
If a participant needs to change a course status, they can do so from within an existing Course. To do this, click the name of the Course, then select the pencil icon in the Details pod and choose In Development, In Progress or Complete.
View course participant activities
To view a course participant's activities, an administrative user can:
- Select the Course name.
- Scroll down to the Course Participants pod at the bottom of the page.
- Click the participant's name and view their activity.
You can also click the Learner Statistics Report link to view Total Score, Score Details and Quick Stats
Course agenda field – reservations, course evaluations, and score release
A Course with the status of In Progress is managed through the Agenda field. An administrator with the appropriate permissions can go to the Agenda pod and select Go to Full Agenda.
From there, the following actions can be taken:
- Add Reservation
- Assign Evaluation
- Assign Self-Record Scenario
- Release Scores
- Export Course Agenda
- Create New Rotational Event
Add a reservation
To add a reservation, an administrator can follow these steps:
- Select Add Reservation.
- Fill in the required fields.
- Choose a Scenario from the dropdown menu.
- Save the reservation.
After saving, the reservation can be edited to include specific participants or to make any other desired changes.
Create a quick add reservation
In month view, week and day view
- Select the day you want to create the reservation.
- Fill in the requested information when the pop-up appears.
- Click Add Details. If you prefer to quickly book a location and return later to complete the details, enter the title and location, then select Confirm.
- Click Save.
Release scores field
An administrator can release scores to all Course Participants or selected users after a Course has started. To do this, select Release Scores, fill in the necessary fields, and click Save. The Release Scores feature also allows Session videos to be accessible in the participant's portfolio.
Once created, the release will appear in green on the calendar. Click on it to access the release score, and if needed, select More Details and click the pencil icon to edit.
Note: The statistics report will always display total scores for Scenarios, Question Categories, and Course Evaluations, regardless of what is released. The report should only be released when these scores are also released.
Assign an evaluation
The Course evaluation is designed for the entire Course, not just for a specific Scenario. To assign a Course evaluation, follow these steps within the selected course:
- Click Go to full agenda in the Agenda field.
- Select Assign Evaluation.
- Complete the form fields. Use the Other Options - Allow Completion Over Time field if the evaluation rates multiple scenarios over a term or semester.
- Save your selections.
The Course Evaluation will now be visible on the Administrative calendar and can be modified by selecting it from the calendar view. Participants added to the Assign Course Evaluation page will see it in the Course portfolio.
Assign self-record scenario
An administrator can assign a self-record scenario for use in SimCapture for Skills to either All Course Participants or Select Users. To do this, select Assign Self-Record Scenario, then choose the Scenario to assign, set the Release Date & Time, and select a radio button in the Assigned to: field.
Export course agenda
As an administrator, select Export Course Agenda to create a link that provides access to your course agenda from other applications. Note: Anyone with the generated link will be able to view all event details in the calendar.
Rotational event

Sessions
Start a calendared session
Once a Session is on the calendar, you can start it using the reservation. Follow these steps:
- Navigate to the SimCapture home page.
- Select the desired Node.
- Hover over the session to choose a Reservation.
- Select Start Scheduled Session.
- Choose session inputs and views as you would for any session.
- Click Record.
Complete a during session evaluation
During a Session, evaluations can be completed after the Administrator has started it and may also be done during debriefing. Evaluations are scored by a Course Administrator either during the session or at debrief.
To complete a During Session evaluation while a SimCapture Scenario Session is running, follow these steps:
- Select the evaluation tab on the session menu.
- Choose either Team Evaluation (for multiple Participants) or Participant Evaluation.
- Select Complete Evaluation and fill it out.
- Click Save.
Once the evaluation is completed and the session ends (or during debriefing), participants will receive a score (if applicable) and the evaluation results, if Release Scores is selected for viewing. They can also access Session, Annotate, and View Annotations if permissions have been granted.
Results field
While a Course is In Progress, you can view the results with the appropriate permissions by following these steps:
- Select the Course.
- Click on View reports in the Results pod.
- Choose the desired report from the Report dropdown.
Participants can see the date and time they completed a session or evaluation from the Course results page in their portfolio.
Course participant field
The Course participant field shows Completed and Overdue Evaluations, along with the participants' scores. By selecting the pencil icon, you can add or remove participants.
Complete and manage a completed SimCapture course
When a Course is completed, its status will change to Complete, making it hidden from the Participant portfolio and unavailable for assignment. If desired, the Course can be rerun as a new instance.
To rerun a completed course, follow these steps:
- Navigate to the Course tab on the global navigation bar.
- Find and select the completed course you want to use again, then click Run Again. This will create an In Development copy of the Course.
- Click Save.
- Edit the Course as needed and select Start Course.
Course Options
Course options differ based on whether the courses are In Development, In Progress, or Completed. Here’s a brief overview of each status.
In Development
When a course is in the In Development stage, administrative users can access the following options from the More dropdown within the course:
- See Sessions
- Copy
- Notify Admins
- Notify Participants
- Export
- Archive* - Archiving a course hides it from the Course list, but Administrators can still search for it by deselecting the Show only Active Courses filter. If a course is archived, students will still be able to view their videos and scores.
In Progress
When a course is in the In Progress stage, administrative users can access the following options from the More dropdown within the course:
- See Sessions
- Copy
- Notify Admins
- Notify Participants
- Export
- Archive* - Archiving a course hides it from the Course list, but Administrators can still search for it by deselecting the "Show only Active Courses" filter. Students will still be able to view their videos and scores even if the course is archived.
- Delete - Deleting a course removes all associated data from the system, making it no longer reportable. If the course has been run or completions have occurred, the Administrator must first remove all accumulated data before deletion.
Completed
When a course is in the Completed stage, administrative users can access the following options from the More dropdown within the course:
- See Sessions
- Copy
- Notify Admins
- Notify Participants
- Export
- Archive* - Archiving a course hides it from the Course list, but Administrators can still search for it by deselecting the "Show only Active Courses" filter. Students will still be able to view their videos and scores even if the course is archived.
*It is recommended to archive courses that have participant data associated with them. An archived course may be reactivated if necessary.
