SimCapture Enterprise with Exam System: How to operate the SimCapture Enterprise course

Once a Course has been added, the Course Administrator or another with appropriate rights may begin the Course. After a Course has been started, Evaluations become available as participants are added to and complete Sessions. The During Session evaluation does not need assignment and will be available with the Scenario Session. Administrators may also release scores and videos to all participants in a Course or a subset of participants. Progress reports may also be obtained from the Course page.
Start a course
An Administrator must start a course before participants can begin working on it. To do this, find the Course you want to start, select Start Course, and then Update. The Start Course button will now read Complete Course. Once a course is completed, it is no longer available for participants or starting sessions. However, it can be rerun.
Once the Course has been started, it will show up in the Participant's portfolio, and you will also be able to see the Course status in the Course field. Course status are:
- In Development - not visible or available for assignment.
- In Progress - visible and available for assignment.
- Complete - not visible or available but can be rerun.
Change course status
Should a participant need to change a course status, they can do so from inside an already created Course. To do this, select the name of the Course you want to change the status of and select the pencil icon in the Details area.

View course participant activities
To view a course participant's activities, an administrative user can:
- Select the Course name.
- Scroll to the Course Participant's pod located at the bottom of the page.
- Select the participant's name.
Agenda field – reservations, course evaluations, and score release
A Course with the status of In-Progress is managed through the Agenda field. An administrator (with appropriate permissions) can select Go to Full Agenda.
From there, these actions can be taken:
- Add Reservation
- Assign Evaluation
- Assign Self-Record Scenario
- Release Scores
- Export Course Agenda
- (Create) New Rotational Event
Add a reservation from the agenda page
To add a reservation from the agenda page, an administrator can take these steps:
- Select Add Reservation.
- Complete the fields.
- Select Scenario from the scenario dropdown.
- Save the reservation.
After saving, the reservation can be edited by adding specific participants or any other changes desired.
Create a quick add reservation
Additionally, you can also create a quick add reservation from the agenda page by taking these steps:
In month view
- Select the day you want to create the reservation.
- Fill in the information asked for when the pop-up appears.
- Select Add Details. If you would like to quickly book a location and then come back at a later time to fill in the details, you will fill in the title and location field, then select Confirm.
- Select Save.
In week/day view
- Select the day you want to create the reservation.
- Fill in the information asked for when the pop-up appears.
- Select Add Details. If you would like to quickly book a location and then come back at a later time to fill in the details, you will fill in the title and location field, then select Confirm.
- Select Save.
Release scores field
An administrator can release Scores to be available to All Course Participants or select users after a Course has started. Select Release Scores, as shown above, fill in the necessary fields and select Save. The Release Score field also allows for Session videos to be available in the participant portfolio.
Once created, the release will show as green on the calendar. Select this to go into the release score, and then, if needed, select More Details and select the pencil icon to edit.
Note: The statistics report will always display total scores for Scenarios, Question Categories, and Course Evaluations, regardless of what is released. The report should only be released when these scores are also released.
Assign a (course) evaluation
The Course evaluation is not specific to a Scenario but rather intended for the Course itself. Therefore, the Course evaluation must be assigned. To assign a Course evaluation, take these steps from within the selected course:
- Select Go to full agenda from the Agenda field.
- Select Assign Evaluation.
- Fill in the form fields. Note that the Other Options - Allow Completion Over Time field can be used when the Course evaluation is rating multiple scenarios during a given time period (term or semester).
- Save your selections.
The Course Evaluation release will now appear on the Administrative calendar and may be modified or edited as necessary by selecting it from the calendar view. Participants added to the Assign Course Evaluation page will view it in the Course portfolio.
Assign self-record scenario
An administrator can assign a self-record scenario for use in SimCapture for Skills to All Course Participants or Select Users. Select Assign Self-Record Scenario as shown, and then select the Scenario to Assign, Release Date & Time and choose a radio button in the Assigned to: field.
Export course agenda
As an administrator, select Export Course Agenda to generate a link that will allow you to access your course agenda from other applications. Warning: Anyone who sees the generated link will be able to view all of the event details in the calendar.
Rotational event
To create a New Rotational Event, select the button shown above and follow the steps on the screen. For more details about rotational events, click here.
Sessions
Start a calendared session
Once a Session has been placed on the calendar, the Session can be started using the reservation. To do this, take these steps.
- Navigate to the SimCapture home page.
- Select the Node desired.
- Choose a Reservation from the field by hovering the cursor over the session and selecting it.
- Select Start Scheduled Session.
- Choose session inputs and views as with any session.
- Select Record.
Complete a during session evaluation
During Session, evaluations may be completed after the Administrator has started a Session. The evaluation may also be completed at debrief. During Session, evaluations are scored by a Course Administrator either during the session or during debrief.
With a SimCapture Scenario Session running, take these steps to complete a During Session evaluation.
- Select the evaluation tab on the session menu.
- Choose Team Evaluation (for when more than one Participant is involved in the evaluation) or Participant Evaluation.
- Select Complete Evaluation and complete.
- Select Save.
Once the evaluation has been completed and the session ends(or debriefing), participants will receive a score (if applicable) and the evaluation results, if chosen in Release Scores for participants to view. They may also view Session, Annotate, and View Annotations if permissions have been granted.
Results field
While a Course is In Progress, you can, with appropriate permissions, view the results by taking the following steps:
- Select the Course.
- Select View reports from the Results pod.
- Select the report you wish to view from the Report dropdown.
Participants can see the date/time that they completed a session or evaluation from the Course results page within their portfolio.
Course participant field
The Course participant field displays Completed and Overdue Evaluations as well as the score of the participants. Selecting the pencil icon lets you add or remove participants.
Complete and manage a completed SimCapture course
When a Course has been completed, the Course will change status to Complete. It will be hidden from the Participant portfolio and unavailable for assignment. The Course may be rerun as a new instance if desired.
These next steps will show you how to rerun a course.
To use a completed course again
- Navigate to the Course tab on the global navigation bar.
- Locate and select the desired completed course and select Run Again. This will create an In Development copy of the Course.
- Select Save.
- Edit the Course as necessary and select Start Course.
Course options
Course options vary between those courses that are In Development, In Progress or Completed. Let's take a quick look at each status.
In Development
When a course is in the In Development stage, administrative users will have access to these options which are located within the course and selected from the More dropdown:
- See Sessions
- Copy
- Notify Admins
- Notify Participants
- Export
- Archive* - When you archive a course, you will hide the Course from the Course list, but an Administrator may still search for an archived course by deselecting the Show only Active Courses filter. If a course is archived, students should still be able to see their videos and scores.
In Progress
When a course is in the In Progress stage, administrative users will have access to these options which are located within the course and selected from the More dropdown:
- See Sessions
- Copy
- Notify Admins
- Notify Participants
- Export
- Archive* - When you archive a course, you will hide the Course from the Course list, but an Administrator may still search for an archived course by deselecting the Show only Active Courses filter. If a course is archived, students should still be able to see their videos and scores.
- Delete - Deleting a course removes all data associated with the Course from the system, and it will no longer be reportable. If a course has been run or completions have occurred, the Administrator cannot delete unless first removing all accumulated data.
Completed
When a course is in the Completed stage, administrative users will have access to these options which are located within the course and selected from the More dropdown:
- See Sessions
- Copy
- Notify Admins
- Notify Participants
- Export
- Archive* - When you archive a course, you will hide the Course from the Course list, but an Administrator may still search for an archived course by deselecting the Show only Active Courses filter. If a course is archived, students should still be able to see their videos and scores.
*It is recommended that courses be Archived if participant data is associated with a course. An archived course may be reactivated if necessary.
